Clients Details

To bring up the clients information, see the property they have inquired on or the area of interest to them, simply click the "View" button to the right of the clients name and the all the information that the prospect has submitted will pop up in a separate tab under the heading "Clients Details".

Once you have contacted the client you will need to update the clients file and status by pressing one of the following buttons.

In Contact

For when you have spoken to the client and are now in ongoing contact with them, the system will automatically prompt you to add notes to the file. Once you have added notes you can then reschedule an appointment, schedule an appointment or book an inspection trip which will then place the client into your callback schedule.

Reschedule call

For when you have been unable to contact the client and need to reschedule another attempt, the system will automatically prompt you to add a call back date and time and notes to the file

Passback

This is only for invalid enquiries that you would like to remove from the system or for clients that you have never been able to contact.

Booking an appointment

When you book an appointment the system will ask you for the date and time of the appointment and to add notes regarding the appointment

Booking an inspection trip

When you book an inspection trip, the system will ask you to book an appointment for the viewing as well as the client arrival date so you can arrange airport pick up if necessary. There is a calender icon next to it, just click on that and select your date. you can jump through it by month or year.

Appointment Booked

Once you have booked an appointment or inspection trip the system will ask you the outcome of the appointment and if you have made a sale it will ask you for the sale details including deposits paid, date paid, est completion date etc. If the client did not turn up or wanted to reschedule you have options to note this also.

Reservation taken

When you have sold a property the system will ask you to enter details of deposits paid, date paid, number of units, est completion date and to update the notes.

Once the reservation details have been entered the system will prompt you to add the commission details and the completion dates etc. It is recommended that you add these details at the point of exchange but if you are confident that they sale is definitely going through at the amounts stated then please enter these details at this point.
